How Wedding Flowers Work: An Easy Guide for Couples

You’re planning a wedding? Congratulations. You have just started the planning journey, and you know you want beautiful flowers…but have no idea where to start? Don’t worry, you’re not alone! Most couples begin this journey feeling a bit overwhelmed. That’s why I’ve created this easy guide to explain how wedding flowers work and help you feel confident as you take those first steps. 

Let’s break it down together!

Step 1: No Clue Where to Start? That’s Okay!

First things first, if you don’t know anything about flowers, that’s perfectly fine! You’re not expected to come prepared with all the answers. As your florist, I’m here to guide you through the process. Your job is to dream; my job is to bring those dreams to life! 

That said, if you do want to get a head start, here are a few helpful things to think about before reaching out:

  • Your wedding date & venue: This helps us understand what flowers are in season and what designs suit your location.
  • A rough budget: Even a ballpark figure can help us recommend the best options for you.
  • Colour palettes or inspiration: Pinterest boards, favourite colours, or even vibes you like, eg. modern, romantic, vintage, or creative and unique – are great to share.
  • Key floral items: Will you likely need to consider bouquets, boutonnieres (buttonholes), table centrepieces, an arch or hanging installation? Even if you’re unsure, just let me know what you’re thinking!

Step 2: Reaching Out to Your Florist 

Once you’re ready to get in touch, we’ll schedule a consultation to chat about your vision. Don’t stress if you feel like you’re “not creative” or “don’t know the names of any flowers”, that’s what I’m here for! I’ll ask you the right questions to pull together a plan that feels so you. In the initial stages, the priority is deciding on quantity, volume and design types.

Pro Tip: Be honest about your budget and must-haves. This helps me create options that align with your priorities and avoid surprises later on.

Step 3: The Quote & Design Proposal

After our chat, I’ll put together a custom itemised quote, and depending on what we have discussed possibly a mood board (but most of the creative planning comes later). The itemised quote will make it easy for you to identify how your budget is being utilised. 

Not sure how to interpret the proposal? Just ask! I’m happy to walk you through everything.

A gentle reminder: If you’re still deciding, that’s totally fine, but do try to keep the communication going. Ghosting your florist can make scheduling tricky, especially during peak wedding season. We’re here to help, not pressure you!

Step 4: Booking & The Fun Begins!

Once you’re happy with the proposal, it’s time to make it official! With a signed agreement and 30% deposit, you’ll be locked into my schedule. From there, I handle all the floral logistics so you can focus on the rest of your planning.

Throughout the months leading up to your wedding, I’ll check in (we’ll have a design planning discussion 12 weeks before the big day), coordinate with your other vendors, and fine-tune the details to ensure everything is perfect for your big day.
